User Fields for Assets, Inventory and Labor

The process for creating User Fields for these three items will be very similar.

1.Select Setup | User Fields | Assets, Inventory, or Labor from PMXpert’s main menu.
2.The corresponding User Fields screen appears.

Labor User Fields will appear under the User Fields tab in the Address Book screen for People classified as Labor.  See Step 9: Address Book, Address Book Overview: Person: Single View and List View.

3.When you open the User Fields screen, you will see that it is divided into several sections.  In the large selection grid on the right side of the screen, you will create a master list of user fields that you can select from and apply to the categories displayed in the upper left section of the screen (under Category).  When you click to highlight a Category in the upper left corner, the User Fields assigned to that category will appear directly below, under the Assigned User Field section of the screen.

4.First, you will create a master list of user fields for Assets, Inventory or Labor.  After, you will assign the required user fields to individual categories

1.Click the New button in the upper right corner of the screen.
2.The User Field [New] window appears.

3.Enter the name of the User Field you want to create. Remember that, at this point, you just want to create a master list of user fields, even if the user fields may not apply to every category. So, for example, you may later want to use all of these user fields for one category, but only need some user fields for other categories.
4.Select the Type from the drop-down list: Currency, Date, Integer, List, Memo, Number, Text or Yes/No.  All of these Types have the following options (except Yes/No, which does not have the “Required” option):
a.Required: Check this box if the information is mandatory. PMXpert will prompt users to fill in the field before they can save changes. If the information is optional, leave the box unchecked.
b.Default: If you wish, you may type or check a default entry. PMXpert will then automatically fill in the field to save time and help reduce data entry errors, but users will be able to override it if necessary.
c.Show on Calendar (Asset User Fields only): Check this box if you want the user field information to be visible on the Calendar Grid pop-ups.
5.Some of the Types have other options.  Any special instructions are listed below:
a.Integer: You cannot put decimals in this field.
b.List: In the List Items field, type the list of items (separated by commas) from which users will select.
c.Number: You can use decimals in this field.
d.Text: Estimate the maximum number of characters required for the field (including spaces, dashes and letters) and enter this figure in the Text Length field.
e.Yes/No: Give this user field only one name, e.g. Toxic.  This is not a field where you can choose one option or the other. It is a simple checkbox that you check if the field applies to the item.
6.When you have filled in all the information you need, click Save.

1.Now you can assign the required user fields to individual categories.
2.In the Category section of the screen – the upper left corner – click to highlight the Category to which you want to assign a user field.

3.To the right, in the master list, click to highlight the user field you want to assign to the category.
4.Click the <Assign button between the Category and User Field sections of the screen.  The User Field will appear in the Assigned User Field section below the highlighted category.
5.Repeat this procedure until you have added all the user fields to the appropriate categories.
6.If you want to assign all of the user fields from the master list to the selected category, click < Assign All.
7.If you want to add one user field to all categories, select the user field and click < Assign To All.
8.If you added some of the Asset User Fields displayed above to the Vehicle category, the User Fields tab of the Asset [New] window would look something like this:

8.Note that the number of lines visible for a Memo field is determined by your System Settings.  See Chapter 2: Setting Up PMXpert, Step 3: System Settings, General.
Click to expand/collapse textRe-Arrange and Remove User Fields from Categories
1.Again, in the Category section of the screen, click to highlight the Category.
2.Below, under Assigned User Field, click to highlight the user field you want to reposition or remove from the category.
3.To change the user field’s position in the list beneath Assigned User Field, click the Move Up or Move Down buttons.

4.To return the user field to its original position, click the Reset Order button.
5.To remove the User Fields from the Category, click the >Unassign button between the Category and User Field sections of the screen.  The User Field will be removed from under the Assigned User Field section for the Category, but will not be removed from the master list of user fields.
6.To remove all of the assigned user fields from the selected category, click Unassign All >.
